Salt & Sun Events provides professional party planning services across Australia. We create stylish beach-inspired celebrations for birthdays, corporate events, and private gatherings. Our team manages décor, catering coordination, and entertainment to ensure every event runs smoothly.

2. Definitions

Throughout these Terms of Service, the following definitions apply:

• "Company," "we," "us," or "our" refers to Salt & Sun Events.
• "Client," "you," or "your" refers to the individual or entity booking or using our services.
• "Services" refers to event planning, coordination, and management services provided by Salt & Sun Events.
• "Event" refers to the celebration, gathering, or function organized on behalf of the client.
• "Website" refers to the Salt & Sun Events website located at www.saltandsunevents.com.au.

3. Booking Process

3.1 Initial Consultation: Our booking process begins with an initial consultation to discuss your event requirements. This consultation may take place in person, over the phone, or via video conference.

3.2 Proposal and Quote: Following the consultation, we will prepare a detailed proposal and quote for your event. This proposal will outline the services to be provided, estimated costs, and tentative timeline.

3.3 Booking Confirmation: To secure our services, you must sign our booking agreement and pay the required deposit. Your event date is not confirmed until we receive both the signed agreement and deposit payment.

3.4 Payment Schedule: The payment schedule will be outlined in your booking agreement. Typically, this includes an initial deposit, interim payments, and final payment due prior to the event.

4. Payment Terms

4.1 Deposits: A non-refundable deposit of 25% of the total quoted price is required to secure your event date.

4.2 Interim Payments: Depending on the size and complexity of your event, interim payments may be required at specified milestones in the planning process.

4.3 Final Payment: The remaining balance must be paid in full 14 days prior to your event date.

4.4 Additional Costs: Any additional services or items requested after the initial booking will be billed separately and must be paid immediately upon approval.

4.5 Late Payments: Late payments may incur a fee of 5% of the outstanding amount per week until payment is received.

5. Cancellation Policy

5.1 Client Cancellation: If you need to cancel your event, the following terms apply:

• Cancellation more than 90 days before the event: Forfeit of deposit only.
• Cancellation 60-90 days before the event: 50% of total event cost payable.
• Cancellation 30-59 days before the event: 75% of total event cost payable.
• Cancellation less than 30 days before the event: 100% of total event cost payable.

5.2 Postponement: Event postponement may be accommodated subject to our availability. A postponement fee may apply.

5.3 Company Cancellation: In the unlikely event that Salt & Sun Events must cancel due to unforeseen circumstances, we will refund all payments made to date or offer to reschedule the event at no additional cost.

6. Weather Contingencies

6.1 As many of our events take place outdoors or on beaches, weather contingency plans are essential. We will work with you to develop suitable wet weather alternatives.

6.2 Decisions to enact weather contingency plans must be made at least 48 hours prior to the event, unless in cases of extreme or dangerous weather conditions.

6.3 Additional costs may apply for implementing weather contingency plans, especially if they require last-minute venue changes or additional equipment.

7. Vendor Management

7.1 Salt & Sun Events will coordinate with third-party vendors on your behalf as outlined in your service agreement.

7.2 While we carefully select our recommended vendors, we cannot assume liability for the products or services provided by these third parties.

7.3 Any contracts with third-party vendors will be between you (the client) and the vendor, even if facilitated by Salt & Sun Events.

8. Intellectual Property and Image Rights

8.1 Photography and Videography: Salt & Sun Events reserves the right to photograph and/or record events for promotional purposes. By booking our services, you grant us permission to use such images on our website and social media platforms.

8.2 Opt-Out Option: If you prefer that your event not be photographed for promotional purposes, you must notify us in writing at the time of booking.

8.3 Intellectual Property: All event concepts, designs, and proposals created by Salt & Sun Events remain our intellectual property and may not be reproduced without permission.

9. Liability and Insurance

9.1 Salt & Sun Events maintains professional liability insurance coverage for our services.

9.2 We recommend that clients obtain event insurance to cover potential losses, damages, or cancellation due to unforeseen circumstances.

9.3 Salt & Sun Events is not liable for:

• Damage or loss of items provided by the client or guests
• Injury to guests or participants resulting from their own actions
• Failure of third-party vendors to deliver products or services as promised
• Event cancellation due to force majeure events including but not limited to natural disasters, government actions, or public health emergencies

10. Privacy Policy

10.1 Salt & Sun Events is committed to protecting your privacy. Our Privacy Policy, which can be found at Privacy Policy, explains how we collect, use, and protect your personal information.

11. Changes to Terms

11.1 Salt & Sun Events reserves the right to modify these Terms of Service at any time. Any changes will be posted on our website.

12. Governing Law

12.1 These Terms of Service shall be governed by and construed in accordance with the laws of Queensland, Australia.
